Notice I-16-18

August 24, 2016

Designation of an Executive Representative for electronic voting purposes

Beginning with the 2017 election of members of NFA's Board of Directors, NFA is replacing its current paper ballot system with electronic voting. More details about the electronic voting process will be forthcoming. However, an essential component of the electronic voting process is the designation by each Member of an Executive Representative.

The Member's Executive Representative will be the only person who can submit a petition to nominate someone for election as a Director, cast votes on a Member's behalf in a contested election for an NFA Director position, or vote to approve or not approve an amendment to NFA's Articles of Incorporation. All notices concerning Director elections, Article amendments and Director nominations will be sent only to the Member's Executive Representative.

Members may designate an Executive Representative by completing the new Executive Representative Contact form, found under "For all Membership Categories" in NFA's Electronic Filings page. Only those firm personnel who are the Security Manager or are authorized to "View, Update, and File" information in ORS may complete this form.

Once logged into the filing index of this form, click on the End Date to enter contact information. The Executive Representative Contact form will require the name, mailing address, and telephone number of the Member's Executive Representative. Members are encouraged to provide an email address for the Executive Representative, but it is not mandatory. Once the Executive Representative's contact information is entered, click Next. Then, click Submit Filing to complete this process.

The first time that a Member visits the Executive Representative Contact form, the Membership Contact listed on the Member's Form 7-R will be displayed. If a Member does not designate a different individual as its Executive Representative in the Executive Representative Contact form, then the individual listed as its Membership Contact on its Form 7-R will be deemed to be the Member's Executive Representative.

More information on the electronic voting process will be issued before the 2017 Director election cycle, which begins in October 2016. If you have any questions regarding completing the Executive Representative section of the Executive Representative Contact form, please contact NFA's Information Center by telephone between 8:00 a.m. and 5:00 p.m. Central Time (800-621-3570 or 312-781-1410) or by email (
